Photo Specifications and Information for Photo Announcements
Ordering Information for Photo Announcements
1. The first step is to choose the photo(s).
-
If you plan to mail a photo, do not send one that is one-of-a-kind or irreplaceable. It will be returned to you once the order is complete, but we can't guarantee that the mail service will not lose or damage it.
-
If you are sending a photo that does not naturally fit the layout on your card, please make a photocopy of the photo and draw lines on the copy to show us where you want the photo cropped. This can be mailed with the photo, or faxed or e-mailed to us if you are sending us a digital image.
-
The picture you are sending should be at least as large as the finished image on card. Check the chart below for the finished image size and send us a photo that is at least that large. We can easily shrink it to fit without any loss of image quality, but the sharpness and quality of the image would suffer if we had to enlarge it very much. For example, do not send a 2" x 3" wallet sized photo if the finished image on the announcement will be 4" x 6".
-
If you are planning to send us a digital image, it MUST be a .tif, .eps. .ai, or .pdf file. It must be at least 300 dpi. If a digital image is sent in a format other than those listed above, the color of the finished product cannot be guaranteed, and there will be a $10.00 charge to reformat. This applies to .jpg files. If sending a .jpg file for reformatting, be sure that the image is not compressed.
2. Prepare the Authorization Form
-
We must have authorization from the photographer to use the image. The authorization form may be printed from this page. If you've taken the photo yourself, you may sign the release form. Some professional photographers will charge a fee to release the photo, but most do not. (If you haven't had the senior photos taken yet, you may want to discuss the "authorization to reproduce" with prospective photographers. It is much easier to get the "O.K." while you are discussing the whole senior portrait package than to go back to them afterward and ask for it.)
-
After you place your order, we'll e-mail you and ask for the photo and a copy of the release form. The form has our fax number on it. We can't do anything with your order until we have the form. If you don't have a fax machine, you may sign the form, scan it, and e-mail it to us. If you are mailing a photo, it is easiest to include it in the package.
3. Get the photo to us
-
We will contact you by e-mail as soon as you place the order and ask for your photo and your photo authorization form. You may send the photo by replying to that e-mail, or you can let us know that you plan to mail the photo or a CD containing the image. A physical photo should be well protected in cardboard and mailed to us at this address: 508 Campus Street, Ste. 5, Milton, WI 53563. Do not send an irreplaceable or valuable photo in the mail.
-
If sending a digital image, check it first to be sure it is the correct color format and is a high enough resolution. A digital file may be e-mailed if it is under 2 MB, or a CD may be sent through the mail. If a larger file than 2 MB is to be sent electronically, we can provide you with the address of our FTP site.

**Please bear in mind that the minimum number of pixels listed would be correct for a digital photo that needs no cropping whatsoever. For best results, give us a photo with two to three times this number of pixels, especially if it will need cropping. 4 to 5 MB is large enough for any use; your photo should not exceed 5 MB.
